Your Opportunity
In this position you will have the opportunity to provide support for the successful execution of construction projects through conformance to Stantec’s ISO requirements, corporate policies, project management framework, and client requirements and standards.
Your Key Responsibilities
- Support with document control including pertinent internal and external communication backup documentation, record keeping and document tracking
- Maintain timely project invoicing, payables, and field expense processing
- Assist with procurement of equipment, field supplies and materials ordering
- Assist construction team members to adhere to client standards and corporate policies and procedures, i.e. status reporting, quality reviews, audits etc.
- Work closely with the construction team to maintain a current and accurate understanding of project status, issues, and changes
- Assist with project plans development, implementation, and adherence, including Quality Management Plan, Traffic Management Plan, Site Specific Safety Plan and Environmental Management Plan
- Support in field inspection and quality control
- Overall support of project financial health including cost forecasting, scope change requests & change management, budget monitoring and support of project schedule
- Assist the Project Controller with regular project health checks and status reporting, invoicing, provision control, and contract management
- Respond to team and client requests for information and act as a liaison between the construction team and management
- Coordinate and attend internal and external team meetings and keep detailed meeting minutes
- Foster a healthy and safe work environment and provide safety compliance support to the construction team
- Create and maintain strong client relationships both internally and externally including associated stakeholders
- Promote the construction team with the use of current media and marketing tools
- Assist with pursuit development and proposal writing
- Provide general team / office support as required, including printing, courier processing, facilitating IT requests, timecard, and expenses support
Your Capabilities and Credentials
- Prior work in documentation control / project assistant role is a plus
- A background or knowledge of construction health and safety
- Strong listening, critical thinking, and problem-solving skills
- Good time management skills and ability to handle multiple priorities and assignments
- Strong written and verbal communication skills
- Eager to learn, resourceful and a “team player approach”
- Demonstrate initiative with attention to detail and accuracy
- Strong work ethic and interpersonal skills
- Must be able to successfully work both collaboratively and independently
- Experience with Adobe Acrobat Pro, MS Outlook, MS Teams, MS Office 365 including Word, PowerPoint, Excel, SharePoint, and Access
Education and Experience
Technical degree/diploma/certificate or equivalent in related field; or equivalent combination of education and experience. Minimum of 0-5 years of experience
Experience working in transportation, logistics, engineering, and/or construction field is preferred
Typical office environment working with computers and remaining sedentary for long periods of time. Fieldwork may include exposure to the elements including inclement weather.
