Your Opportunity

Your role will be to ensure organizational effectiveness and efficiency for all personnel in our Toronto, ON office. 

Your Key Responsibilities

 

  • Provide customer service support to internal and external clients, vendors and walk-in visitors
  • Ensure all visitors to office are complying with all Stantec policies and procedures, including signing-in/out log entries and issuing and collecting Visitor Badges.
  • Organize and schedule meetings by managing meeting room reservations, handling special requests such as coffee and catering and training staff on booking system
  • Assist with resolution of facilities issues, such as needed maintenance or emergency repairs
  • Perform administrative tasks including data entry, presentation, correspondence, mail preparation, photocopying, scanning, coordinating and receiving deliveries / couriers etc.
  • Maintain online systems for lighting control and office security access
  • Maintain sufficient inventory of various office-related supplies and functionality of copier rooms and office equipment
  • Assist with new hire seating preparations and internal moves
  • Process invoices, check requests, and expenditure reports for office operations; ensure invoices are paid in timely fashion
  • Assist Records Manager with filing department tasks, as required
  • Assist Office Manager with administrative duties, as required

Your Capabilities and Credentials

  • Strong time management skills, able to multi-task and prioritize multiple deadlines/tasks
  • Extremely organized, detail orientated,
  • Work in a high-pressure, high-volume team-oriented environment with minimal supervision, working independently and cooperatively with all levels of staff members
  • Must have versatility, flexibility toward adapting to change
  • Must be willing and able to take initiative when needed to execute work efficiently
  • Excellent interpersonal skills and a strong commitment to excellence quality
  • Proven clearly written and oral communication skills
  • Proven success with inventory management and reduction of inefficiencies and expenses
  • Professional, positive attitude is needed
  • Proficient in Microsoft Office Suite including Word, PowerPoint, Excel, Outlook Inbox/Calendar management, and Adobe

Education and Experience

High School Diploma with minimum of 2 years of experience providing progressive administrative support in an office environment; or post-secondary degree in related field; or equivalent combination of education and experience.

This is a Monday-Friday, in-office role.
