The successful performance of a project depends on appropriate planning and execution. The Project Controls Coordinator is responsible for preparing updates to project monitoring/forecasting tools, assisting with Subconsultant management, and assisting with project workflow, documentation, and communication. This position will support our Project Controls Specialists and the greater Commercial Management team, using cost control processes and tools, to plan and manage project cost and schedule, as well as mitigate risks that may impact a project, while maintaining quality control and document control requirements.  Preparation, review, and coordinated processing of invoices to our clients and from our Subconsultants and vendors will also be an important function. The ideal candidate must be able to understand the inter-related control systems and coordinate/communicate with multiple team members, possibly on more than one project.

Your Opportunity

As part of the Major Projects team, our Project Controls Coordinator provides financial analysis support, accurate commitment and expenditure information, performance data, timely cost and schedule forecasts, to support achievement of project delivery and budget objectives. This role requires being an integrated member of project teams and interfacing with internal project teams as well as external client team members and Subconsultants.

In addition, this role includes assisting the Project team in organizing and maintaining project records in conformance with Stantec’s internal practice frameworks throughout the project development process including tracking submittals, Requests for Information, and Change Orders.

Your Key Responsibilities

  • Fully understanding scope of the project and working closely with the project team to maintain a current and accurate knowledge of project status, issues, and changes
  • Actively participating in development and maintenance of project setup documentation, proposals, WBS (Work Breakdown Structure), budgets, cashflows, estimates to complete, resource planning, status reports, change management and schedules
  • Reporting to Project Controls Specialists to help address financial project matters; this may include assisting with developing revenue forecasts and fee curves, identifying variances and barriers to maintaining budget or schedule in a timely manner, and producing understandable and useful financial reports
  • Preparing drafts of client reporting and project invoicing/billing; this may include liaising with finance team for accurate, timely and compliant project and client billing, completing reconciliations, monitoring AR/AP, monitoring consultant budgets, assisting Commercial team with review and approval of consultant billing, and preparing client status reports as needed
     

Your Capabilities and Credentials

  • Must be proficient in MS Office skills, with advanced skills in MS Excel
  • Excellent written and verbal communications in both office and virtual environments
  • Demonstrated ability to multi-task, work on multiple projects or tasks at once, manage time, organize, and set priorities 
  • A/E industry experience a plus
  • Self-motivated individual with a strong work ethic, capable of prioritizing and communicating to multiple groups
  • Positive attitude with the ability to develop and maintain effective working relationships
  • Strong problem solving and analytical skills, including attention to detail
  • Willing to take initiative and ownership of areas of responsibility to meet project requirements
  • Ability to organize workflow in a proactive manner
  • Ability to work independently and as part of a team
  • Power BI and Access, Microsoft Project, Primavera P6, and Bluebeam experience a plus

Education and Experience

Associate (2 year) degree or equivalent relevant work experience preferred; the following degree programs would be preferred: finance/accounting, business, engineering, or construction management.
