Your Opportunity

Take the first step towards designing your career with Stantec. We have an exciting opportunity for an HR Support Coordinator to join our team. Reporting to the Manager of HR Support, this person will need excellent organizational and time management skills, as well as the ability to communicate to employees at all levels within the organization to support a wide variety of administrative tasks. The primary role is supporting the coordination and responding to internal and external verification of employment or income inquiries, maintaining employee records, performing audits, and other duties as assigned. Join our collaborative HR team and play an important role in supporting the administrative needs of our HR partners and employees.

Your Key Responsibilities 

 

  • HR Support Activities
    • Maintain employee e-files and respond to document requests as needed
    • Create letters and respond to requests for verificaton of employment or income.
    • Assist with HR invoice payment and tracking
    • Perform miscellaneous HR audits
    • Listen to, respond, and/or route voice messages to the appropriate team
    • Support specific tasks for certain HR programs, as needed.
  • US I-9 Administration
    • Liaison between Stantec employees, office contacts and Equifax/E-Verify
    • Ensures I-9s are completed timely and within federal guidelines
    • Assists in the reverification of employment documents for foreign workers
    • Performs miscellaneous audits as needed
  • US Unemployment Administration
    • Liaison between Stantec employees, HR Business Partners, state unemployment agencies and Equifax
    • Provide employer response to unemployment claims within required timelines
    • Coordinate and/or attend hearings as needed
  • HR Compliance Administration
    • Performs miscellaneous HR audits 
    • Liaise with HR, Payroll, and various third-party vendors on compliance administration, primarily for North America. 
    • Maintain US state compliance notifications in new employee onboarding and Equifax Compliance Center; coordinate updates as needed

Your Capabilities and Credentials

  • Experienced in HR Administration/Operations 
  • Excellent professional customer service orientation
  • Interpersonal, organizational, time management, problem solving skills and a keen attention to detail
  • Strong verbal and written communication skills with a professional demeanor
  • Proven results focus and ability to meet tight, concurrent deadlines
  • Displays comfort and enjoys working with diverse individuals across all levels in a geographically dispersed organization
  • Experience working in a team-oriented, collaborative environment. Experience working in an HR environment is preferred.
  • Solid understanding of Human Resources principles, concepts and processes.  Knowledge related to jurisdictional laws, legislation, rules, and regulations in North America is an asset.
  • Ability to exercise confidentiality, discretion, and sound judgment
  • Ability to learn and adapt to programs and processes quickly
  • Strong Microsoft Office Suite skills, with advance skills using Excel
  • Experience with an HRIS and HR Services technology
  • An ability to manage competing deadlines, with a close attention to detail
  • The ability to work autonomously, reviewing work on a regular basis and consistently meeting role objectives

Education and Experience

  • Certificate or Diploma in Business, Administrative Management, or related field
  • Minimum 3 years of related work experience 

Typical office environment—working with computers and remaining sedentary for long periods of time.
